How It Works

The room your buyers didn't walk into — until now.

Every live event ends the same way. Some people buy. Most don't. The ones who didn't buy weren't all hard no's — some needed more time, some needed a lower barrier to entry, some just weren't ready to commit alone. Until now, those people represented revenue that was gone the moment they left the room. NextRoom captures them — privately, elegantly, and without touching your original offer or your full-price buyers.

From event close to revenue recovered — in five steps.

Step 1

Your event ends. You close the room.

Some bought at full price. Most didn't — yet. Within minutes of closing, you open NextRoom, confirm your offer details, upload your non-buyer list, and hit send. The whole setup takes under 2 minutes. Your offer window opens immediately.

Step 2

Your non-buyers receive a private invite.

The email comes from you — your name, your offer, your voice. It looks like a personal invitation you thought of yourself, not a platform sending on your behalf. NextRoom is never mentioned. Your full-price buyers receive nothing. The subject line, the copy, and the call to action all feel like they came directly from you — because they did.

Step 3

Interested buyers enter the pool.

Non-buyers who click the invite land on a private page showing the per-person price and group size. When they join, they enter a pool. NextRoom automatically matches them into groups of 3 or 4 as others arrive. They don't choose their group — it forms around them. Each person sees the group filling in real time, which creates its own quiet urgency.

Step 4

Groups lock. You watch it happen live.

Your dashboard updates in real time as groups fill. Progress bars animate. The activity feed shows each join. The revenue counter climbs every time a group completes. When a group reaches capacity it locks — and that revenue is secured. You can watch this from your phone the moment your event ends. Most hosts describe this as the most satisfying part of their entire launch.

Step 5

Revenue arrives. You grant access in minutes.

When the offer window closes, completed groups are charged. NextRoom immediately generates a downloadable access list for each group — names, emails, and group assignments — ready to upload directly into your content platform. Upload it to Teachable, Kajabi, Thinkific, or wherever your content lives. Your buyers receive their login within 15 minutes of payment. Incomplete groups are released at no charge to anyone. NextRoom deducts its 10% fee from completed groups only. If no groups formed, you owe nothing.

The entire flow — from your event closing to your first group locking — typically happens within the first hour.

What your non-buyers actually receive.

This is not a consolation prize. This is an exclusive invitation.

What they receive

A private email that appears to come directly from you. No platform branding. No mention of NextRoom. The subject line references your offer. The copy feels personal and considered — like you thought of them specifically. Because as far as they know, you did.

What they feel

They land on a private page showing a per-person price well below what others paid at the event. They see a group forming around them in real time. They feel like they got access to something exclusive — a back-channel opportunity that most people never see. They do not feel like they received a discount. They feel like they got lucky.

Your full-price buyers never see this page, this email, or this offer. Ever.

The questions hosts ask before their first launch.

The incomplete group is dissolved. Everyone in it is released — no charge, no obligation. They simply didn't make it into a complete group this time. You can set your offer window anywhere from 30 minutes to several hours — most hosts find 60 minutes captures the majority of interested buyers while the event energy is still live.

Yes. The invite email is editable before you send. You control the subject line, the body copy, and the call to action. NextRoom provides a default template that matches the tone of a private, personal invitation — but it's fully yours to customise. Your name appears as the sender. NextRoom never appears.

Refund policy is set by you, not NextRoom. We recommend making it clear on the buyer landing page that group purchases are non-refundable once the group locks — the same way a group booking works. If one member disputes a charge, that is between you and your payment processor. NextRoom flags completed groups so you always know who is in each one.

When your offer window closes, NextRoom generates a downloadable CSV for each completed group — names, emails, and group assignments. You upload that list to Teachable, Kajabi, Thinkific, or your content platform of choice. They handle login delivery to each member. The whole process takes under 5 minutes and your buyers receive access within 15 minutes of payment.

No. The invite goes only to the list you upload — your non-buyers. It is not public. It does not appear on any page your full-price buyers can access. There is no way for them to find it unless you tell them. The offer is structurally invisible to anyone not on your non-buyer list.

Yes — there is no limit on campaigns. Every event you run is another opportunity. Most hosts run it within minutes of closing the room while their audience is still warm and their energy is still high. The setup is identical each time — your saved offer details pre-populate so it gets faster with every launch.

Groups of 3 or 4 can form from surprisingly small pools. If you had 30 non-buyers and 10% engage with the invite, that's 3 people — one complete group of 3. One group recovering $4,500 net from an audience of 30 non-buyers is a result most hosts would never have achieved with any other mechanism. Small audiences are not a barrier — they just mean fewer groups, not zero groups.
